A spreadsheet-style database for building simple apps and workflows, with automations and AI built in.

Our verdict

Being tested. An editor is using Airtable hands-on; the verdict and score appear here once they sign it off.

What it does

Airtable looks like a spreadsheet but works like a database: you store records such as orders, projects or contacts, link them together and view them as grids, calendars or boards. Automations run steps for you, such as sending an email when a record changes, and AI can fill in fields, such as summaries or categories.

It suits small teams that have outgrown spreadsheets but don’t need software built for them.

Why use it

  • It feels like a spreadsheet, but records can link together.
  • Automations send emails and update records for you.
  • AI can summarise, categorise or draft text in your records.
  • Forms let other people add information without seeing everything.

How it works

  1. Sign up and start a base from a template or a spreadsheet.
  2. Set up tables and fields for the things you track.
  3. Add views, such as a calendar or a board.
  4. Create automations for steps you repeat, and test them.

How hard is it to use?

Intermediate Some set-up, or a little practice, to get good results.

Easy to start, but designing a good structure takes some thought, which is why we rate it Intermediate.

What it costs

Free plan; paid plans. A free plan with limits on records, automation runs and AI credits. Paid plans, priced per user, raise the limits and add features.

Prices change often, so check Airtable’s own site before you pay.

Watch out for

  • Costs rise per user as your team grows.
  • Bases can get messy, so agree a structure before many people use one.

Your data

Check Airtable’s privacy policy and AI terms for how your data is used by its AI features and where it is stored.

We haven’t confirmed that Airtable can keep your data in the UK, so check where it keeps your data before you share anything private or about other people.
