What it does

Hubdoc is Xero’s tool for capturing bills and receipts. You photograph them in the app, email them in, scan or upload them, and it reads the key details, such as supplier, date and total. It then publishes them to your accounts with the original document attached, ready to match to your bank feed.

It comes with every Xero plan at no extra cost, and it also works with QuickBooks Online. Xero now builds similar AI capture into Xero itself, called Smart Document Capture, so ask your accountant which they prefer.

Why use it

  • Snap a receipt with the phone app and the details are read for you.
  • Forward bills by email, and they are read and filed without retyping.
  • Each entry is published with the original document attached, which helps at year end.
  • There is no extra cost if you already pay for Xero.

How it works

  1. Connect Hubdoc to your Xero organisation, or ask your accountant to invite you.
  2. Install the Hubdoc app on your phone.
  3. Photograph receipts, or forward bills to your Hubdoc email address.
  4. Check the supplier, date and total it has read.
  5. Publish each document to Xero, then match it to your bank feed.

How hard is it to use?

Beginner Easy to start. You need an account, not any technical know-how.

Snapping and forwarding documents takes minutes. Setting up supplier rules and the link to Xero is easier with your accountant’s help.

What it costs

Included with Xero plans. Included at no extra cost with Xero plans, as long as it is connected to your Xero subscription. If you don’t use Xero, check Hubdoc’s own site for its plans.

Prices change often, so check Hubdoc’s own site before you pay.

Watch out for

  • Xero is putting its effort into Smart Document Capture inside Xero, so check Hubdoc is still the right choice before you start.
  • It no longer logs in to suppliers’ websites to fetch bills by itself; that feature ended in 2022.
  • Check the totals it reads, especially from crumpled or handwritten receipts.

Your data

Hubdoc is part of Xero, and Xero’s privacy notice covers it. Xero hosts its services with Amazon Web Services in the US; check Hubdoc’s help pages if you need to know exactly where scanned documents are kept.

We haven’t confirmed that Hubdoc can keep your data in the UK, so check where it keeps your data before you share anything private or about other people.
